Patient Experience Coordinator / Front Office Sales — Medical Aesthetics

NWME Aesthetics is a luxury medical aesthetics and wellness practice specializing in natural, regenerative treatments and skin of color. We focus on personalized treatment plans, patient relationships, and a premium experience from the first phone call to checkout.

THE ROLE

We are looking for a warm, polished, confident Patient Experience Coordinator who understands both hospitality and sales.

This is NOT a traditional receptionist role.

You will help manage the patient experience from inquiry to checkout while confidently converting consultations, rebooking patients, presenting memberships, and helping grow the practice.

SCHEDULE

Wednesday & Thursday: 10am–7pm

Friday & Saturday: 10am–5pm

Tuesday (remote follow-up, lead nurturing, KPI tracking)

RESPONSIBILITIES

• Convert inbound calls, texts, and inquiries into booked appointments

• Follow up with leads through text, email, and phone

• Manage patient check-in, checkout, and rebooking

• Present Beauty Bank Memberships and treatment plans confidently

• Reactivate existing patients to fill schedule gaps

• Assist provider with patient flow, pre/post care, photos, numbing, and room turnover

• Discuss financing and payment options comfortably

• Track KPIs including bookings, conversions, memberships, and reactivations

QUALIFICATIONS

• Experience in med spa, aesthetics, dermatology, dental, hospitality, or luxury sales

• Comfortable discussing high-ticket services

• Warm, professional, and confident on the phone

• Organized, tech-savvy, and self-directed

• Professional appearance and strong communication skills

• Able to work independently with minimal supervision

BONUS IF YOU HAVE

• Aesthetic Record EMR experience

• GoHighLevel experience

• Financing presentation experience (CareCredit, Cherry, etc.)

• Medical assistant or treatment coordinator background

• Bilingual (Spanish)

COMPENSATION

• $18–32/hr depending on experience

• KPI performance bonuses

• Commission opportunities on converted appointments
