GENERAL SUMMARY

The Volunteer Income Tax Assistance (VITA) Assistant plays a key role in helping low and moderate income individuals and families access free tax preparation services and valuable tax credits. This grant-funded, full-time position supports the successful operation of the VITA program by assisting clients and volunteers, maintaining VITA sites, and ensuring efficient service delivery throughout the tax season.

Responsibilities include providing technical support for VITA equipment and software, troubleshooting minor technical issues, answering tax-related questions from clients and volunteers, and assisting with the day-to-day operations of multiple tax preparation sites. The VITA Assistant serves as a resource for volunteers and clients while helping create a positive and welcoming experience for all participants.

The ideal candidate is organized, detail oriented, and customer focused, with strong communication and problem-solving skills. This position requires the ability to work effectively with individuals from diverse backgrounds, manage multiple priorities, and work independently with minimal supervision. A commitment to financial stability initiatives and helping individuals and families achieve greater economic security is essential.

During the tax season, this position is scheduled for 40 hours per week and will require occasional overtime, evening, and Saturday hours. Outside of tax season, the regular schedule is 37.5 hours per week.

ESSENTIAL JOB FUNCTIONS

  • Support daily VITA site operations, including client intake, tax preparation flow, quality review, electronic filing processes, as well as volunteer coordination, marketing efforts, and social media management.
  • Ensure all volunteers and staff meet required IRS certification standards prior to preparing returns.
  • Assist with implementation of site policies and procedures to ensure consistent, high quality service delivery to clients.
  • Provide supervision, guidance, and support to volunteers to help them meet program goals and fulfill contractual requirements.
  • Ensure compliance with IRS Quality Site Requirements, including standards outlined in IRS Publication 5166.
  • Foster a positive and welcoming environment for clients.
  • Participate in required trainings and ongoing professional development as required.
  • Support the VITA Director with administrative and operational tasks as needed.
  • Promote the mission of North Texas Area United Way through professional and courteous service.
  • Perform other duties as assigned.

EDUCATION AND EXPERIENCE

  • Associate degree preferred but not required.
  • Basic tax knowledge and prior experience preferred but not required.
  • Experience working with low-income and diverse populations preferred.
  • Experience supporting teams, volunteers, or community-based programs preferred.
  • Proficiency with basic computer systems and software applications.
  • Strong interpersonal, written, and verbal communication skills with a focus on customer service.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.
  • Ability to take initiative, solve problems, and work independently with minimal supervision.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Bilingual skills are helpful but not required.
  • Must be able to pass required background checks.
  • Must be willing to complete IRS-required training and successfully pass certification tests within 12 months.
  • Reliable transportation, a valid driver’s license, and valid insurance.

PHYSICAL REQUIREMENTS

Position consists mostly of sitting for extended periods of time at a desk, working on a computer and answering the telephone. Occasional stooping, lifting, walking or carrying of objects will occur.
