Pay Range: $30.00 – $34.00 / hour (DOE)

The Role

Victory Property Group is seeking a high-level Operations & Compliance Lead to serve as our administrative engine. In our flat organizational structure, you own the systems that keep our business compliant and our financial data accurate. You are the Diplomatic Enforcer—the person who ensures that while we move fast, we never compromise on our standards, our reporting loops, or our regulatory obligations.

Key Responsibilities 1. HR Stewardship & Payroll Administration

  • The "Victory Loop" Monitor: Enforce team communication standards ( Acknowledge > Update > Done). Monitor company platforms to ensure all tasks have clear owners and active deadlines.
  • Internal Payroll Execution: Manage the semi-monthly payroll process for the core Victory team via the BBSI portal. Ensure 100% accuracy in time-tracking and tax compliance.
  • Compliance Auditing: Conduct regular audits of leasing and maintenance files to ensure every signature and legal form is present and Berkeley-compliant.

2. Digital Squad Leadership & VA Oversight

  • VA Collaboration: Serve as the direct operational point for the Virtual Assistant (VA) squad. Assign daily tasks and ensure output meets the Victory Gold Standard.
  • VA Quality Control: Perform daily audits of VA-entered invoices. You are the filter that ensures financial data is "Tax-Ready" before it reaches the Portfolio Lead or Principals.
  • Accounting Inbox Ownership: Sort, prioritize, and ensure every communication is addressed or assigned within the Victory Standard timeframe.

3. Financial Quality Control & Vendor Compliance

  • Bill Pay Preparation: Prepare the weekly bill pay packet for the Portfolio Operations Lead’s final review.
  • Vendor Stewardship: Own the vendor onboarding process; no payments are issued without updated W-9s and Certificates of Insurance (COI).
  • Audit Readiness: Maintain meticulously organized digital files to ensure the company is always prepared for financial or regulatory audits.

Qualifications

  • 3+ years of experience in bookkeeping, HR, or property management operations.
  • Tech-Fluent: Proficiency in Entrata (or similar PM software), QuickBooks, and Google Workspace.
  • Administrative Maturity: Proven ability to work autonomously and hold teammates to strict professional deadlines.
