About This Role
This is not a role where you’ll clock in, follow a script, and clock out. It’s a role where you’ll help shape how a mental health practice operates, grows, and shows up for its community — and where your instincts, initiative, and relationships will genuinely move the needle.
You’ll work closely with the Owner/CEO and Clinical Director across our Ballwin and Lake Saint Louis offices. Some days are steady and rhythmic. Others bring something new. But the culture is always grounded — we don’t do unnecessary drama, we support each other, and we take the mission seriously without taking ourselves too seriously.

What You’ll Own
Client Experience & Intake
- Oversee the full client journey from first inquiry through scheduling and onboarding
- Ensure every prospective client feels cared for and every system behind that runs smoothly
- Improve and maintain processes related to communication, scheduling, and client retention
- Serve as backup intake support when needed
Practice Operations
- Manage day-to-day workflows, facilities, vendors, and administrative systems across both locations
- Keep organizational documentation, processes, and systems tight and current
- Spot opportunities to do things better — and actually follow through on them
People Operations & HR
- Lead hiring, onboarding, and offboarding for therapists, interns, and staff
- Support benefits administration, payroll, 401(k) coordination, and employment documentation
- Handle annual benefits renewals, workers’ comp audits, and related requirements
- Maintain personnel records with accuracy and confidentiality
- Support leadership in employment-related conversations and employee care
Leadership & Team Support
- Supervise the Intake Coordinator
- Be a visible, trusted presence — someone the team knows they can count on
- Build genuine relationships with clinicians, interns, and staff
- Help sustain a culture that is collaborative, accountable, and human
Community Engagement
- Represent Marble Wellness professionally in the broader community
- Build and maintain referral relationships with schools, medical providers, attorneys, and community organizations
- Support outreach initiatives and community events — the scope of this grows as we do

Compensation & Benefits
- Salary: approximately $68,000-$75,000 annually
- Paid time off (PTO) + paid holidays
